Keep three questions separate
Did a response arrive? What use did the contributor agree to? Has someone checked that the proposed excerpt is accurate and appropriate? These questions can have different answers. A technically successful submission does not settle the latter two. Read the actual record
Boast documents full, partial, missing and not-requested consent states, along with the terms accepted. Partial permission is not a universal approval, and not requested is not the same as unrestricted use. Inspect the record and its context rather than relying on a convenient color or summary label. Unclear permission should remain an unresolved publishing decision.
Match the destination
A website quote, a downloadable case study and a paid advertisement can represent different uses. Do not assume agreement to one automatically covers all others. Record the intended placement and the version to be used, then obtain any appropriate clarification before expanding it. Keep private contact information out of the public presentation unless there is a separate justified and authorized reason.
Retain an accountable decision
Record who reviewed the item, which permission evidence they relied on and the public locations approved. This makes later corrections possible without reconstructing a decision from memory. If the evidence is missing, hold the item and ask the appropriate owner to resolve it. A large library is less valuable than a smaller collection whose context, permissions and publication history can be understood.
An original decision example
Illustrative hold: an item has a full permission label for a website quotation, but a colleague proposes using the clip in a different campaign. Reopen the use decision rather than assuming the label covers any future channel. Retain the original scope and ask the appropriate owner to resolve the proposed expansion.
